How information moves across the AI tools, connected accounts and main website, what stays on your device, and how to ask for help.
1. Data flow and processing
1.1 Current data flow
Nova requests follow this path: browser → Alle's ClinXAi server → configured AI, search or OCR provider when that capability is used → response back to the browser. Metricon calculations and CheckMate text comparisons run in the browser and do not require those records to be sent to the application server.
1.2 Account and browser data
Sign-in uses your existing Alle's ClinX WordPress/WooCommerce identity through the first-party Accounts service. WordPress verifies the password; Alle's ClinXAi receives only a minimum internal user identifier and creates its own time-limited secure session. Nova conversation history and sector-tool drafts may still be stored in your browser's local storage and are not automatically synced to the account.
1.3 What reaches the server
Messages sent to Nova, selected PDF or image attachments, and optional capability requests are transmitted to the Alle's ClinXAi server so the requested feature can run. Provider credentials remain server-side and are not rendered into public HTML or browser JavaScript.
1.4 Application retention
The current public Nova server does not write conversation messages or uploaded file contents to an application conversation database. Request content is processed for the active request. Hosting infrastructure and configured service providers may still create operational logs or apply their own retention policies.
1.5 External processing
Current integrations can use Groq for AI chat, web search and image analysis, Brave Search as a search fallback, and Mistral OCR for image-only PDFs when configured. Only the content needed for the selected capability is sent. Provider availability can change, and provider terms and retention rules apply independently.
1.6 What not to submit
Do not upload confidential personal records, secrets, passwords or information you are not authorised to share. For support or privacy questions, contact care@allesclinx.com.
2. Policies, identity and purposes
2.1 Parent-site policies
The main website’s Privacy Policy applies to customer accounts, enquiries, orders, invoicing and delivery. This notice supplements it with the processing specific to the AI tools and connected Accounts service. Read both when moving between the sites.
2.2 Who is responsible and which sites this covers
Alle’s ClinX is a brand of Champaran Innovatives Private Limited. This notice covers personal information used by Alle’s ClinXAi at ai.allesclinx.com and the connected Accounts service at auth.allesclinx.com. The main website at allesclinx.com operates the customer account and store. Its Privacy Policy covers purchases, addresses, invoices, support enquiries and related business records. A shared identity does not make all information available to every tool.
2.3 Information used for each purpose
Account identifiers enable sign-in and an application session. Nova messages, relevant conversation context and attachments enable the requested answer, extraction or analysis. Network and request metadata support delivery, troubleshooting and abuse prevention. A support enquiry uses the details you provide so we can investigate and reply. You may browse public tools without signing in; submitting a message still requires server and provider processing.
2.4 Google sign-in and account connections
If you choose Google sign-in, Google verifies your identity through the main site’s social-login integration. The identity details authorised in that flow are used to create or recognise the WordPress customer account. Review Google’s consent screen before continuing. This sign-in flow does not itself authorise Nova to access your Google Drive, Gmail, contacts or private files. Password recovery and customer account changes remain with the main website.
3. Products and browser features
3.1 Live products, documents and purchase information
Nova retrieves public product information and document-library links from allesclinx.com to show relevant cards. This catalog connection does not query your private WooCommerce orders, addresses, payment details or customer records. Opening a product, source link or PDF makes a request to its host. Displaying a PDF link is different from uploading a file for analysis; linked PDFs are not automatically read as evidence for an answer.
3.2 Browser storage, feedback and clearing your history
Recent Nova messages and Like/Dislike feedback are saved in this browser. They are not automatically synchronised across devices. New conversation clears the current saved chat; use your browser’s site-data controls to remove all stored drafts and any legacy chat data for this origin. Signing out is not the same as deleting browser storage. On a shared device, clear saved conversations and drafts, close documents, and sign out of each relevant site.
3.3 Copying and listening to answers
Copy text places the answer on your device’s clipboard, where other applications may be able to read it. Listen uses the browser’s speech-synthesis service and available voices. A voice may be local or provided by the browser or operating-system vendor; the processing depends on that vendor’s settings. Listen does not record your microphone. Pause/Resume and Stop control playback. The activity animation is a visual status indicator, not evidence that audio is being recorded.
4. Retention and privacy rights
4.1 Retention boundaries and external locations
Clearing browser history does not erase a request already processed by an external provider, a downloaded file, a copied answer or a support record. Providers and hosting services may process or retain operational data in locations outside India under their own terms. This page does not promise zero retention, an India-only processing location, or a provider training opt-out that has not been verified for the configured account. Contact us before submitting material subject to a confidentiality or location requirement.
4.2 Privacy requests and grievances
Email care@allesclinx.com with the subject Privacy request, identify the site and account involved, and explain whether you need access, correction, deletion, consent withdrawal or help with a privacy concern. Do not send passwords, OTPs or an unredacted identity document in your first message. We may request proportionate identity verification before releasing or changing account information. Some transaction, security and legal records may need to be retained; we will explain relevant limitations. Rights and response duties apply subject to the law in force and its commencement provisions.
4.3 Children, business records and changes
These services are intended for adults acting in a professional or institutional capacity. Avoid submitting student, patient or employee records, identifiable photographs or sensitive personal information. Redact names, identifiers, signatures and contact details when a task can be completed without them. Tell us if a child’s information has been submitted. The date on this notice records its latest revision; changes requiring additional consent will be addressed separately from merely posting revised wording.
