Nova separates approved internal knowledge, live web results, uploaded documents and model-generated interpretation so users can see what kind of evidence supports an answer.
1. How information is processed
1.1 Server-mediated AI
Nova is not a browser-only AI system. The browser sends the message and any selected attachment to the Alle's ClinXAi server, which invokes configured providers and returns the result.
1.2 Approved knowledge
Only Nova knowledge sources marked approved are added to the controlled retrieval context. Training examples guide response behavior but are not presented as factual evidence.
1.3 Live web search
Web search is an explicit user-controlled capability. When enabled and configured, search may use Groq browser search or Brave Search. External results are labelled separately from approved Alle's ClinX knowledge.
1.4 Files and images
Digitally generated PDFs are first scanned for embedded text on the server. Image-only PDFs may be sent to configured OCR. Images may be sent to a configured vision model. Extraction and image interpretation can be imperfect, so important details should be checked against the original file or image.
1.5 Local-only tools
Metricon calculations and CheckMate text comparison are designed to run in the browser. Sector-tool drafts are saved locally only when the user chooses to save them.
2. Accountability and public retrieval
2.1 Human accountability
Nova may explain, retrieve, compare or structure information, but it does not certify safety, compliance, clinical suitability or final acceptance.
2.2 What is transmitted when you send
A Nova request includes the current message and relevant recent conversation context. Selecting an attachment sends that file for the requested processing. Enabling Web can send a derived search query to a search provider, and retrieved context can be included in the AI prompt. Even without Web enabled, answering with Nova still uses the configured AI service. Do not put personal information into a search query merely because the source is public.
2.3 Live catalog is public retrieval
Nova can retrieve product metadata and document-library links from the main Alle’s ClinX website. These cards are labelled separately and point to the original product or document. The catalog integration uses public information, not your private orders or account records. A product card is not a personalised recommendation based on purchase history. Product availability, prices and document links should be checked on the main site before a procurement decision.
2.4 Document links versus document analysis
A linked PDF may be available for preview or download without its contents having been extracted for the answer. To ask Nova to analyse a document, use the supported attachment workflow. Text extraction can miss scanned pages, symbols, reading order, footnotes and tables. OCR and image models may misread a concentration, decimal point or unit; confirm those details visually in the original. If extraction fails or a source is incomplete, provide a clearer file rather than inferring missing instructions.
3. Evidence, providers and safety
3.1 Training, retention and provider claims
The current public request handler processes chat content to generate a response and does not write it into an application conversation database or automatically add it to approved knowledge. Device feedback is not uploaded as a training dataset. These implementation facts do not establish what every infrastructure or model provider retains or uses. Provider handling depends on the configured service and its applicable terms; no general zero-retention or no-training guarantee is made here.
3.2 Reading source labels and resolving conflicts
Distinguish approved internal knowledge, public catalog metadata, live web results, uploaded-file extraction and the model’s own interpretation. A citation is a pointer for review, not proof that each sentence is supported. Check the source date, product, jurisdiction and application. When sources disagree, retain the conflict and ask the accountable technical or site owner to resolve it. Current product instructions and approved site procedures take precedence over a conversational interpretation.
3.3 Safety-critical tasks and unsuitable inputs
Use Nova to organise a question or locate evidence, then involve a qualified person for chemical compatibility, workplace safety, infection-control protocols and regulatory decisions. Do not rely on it for emergency response, diagnosis or approval of patient care. Patient records, student information, staff disciplinary records, passwords and commercially restricted files should not be submitted to the public chat. Use de-identified examples and obtain the necessary permission before processing organisational material.
4. User controls and corrections
4.1 Read-aloud, feedback and downstream use
Listen uses the browser’s available speech voices and may simplify the written response for playback. The feature is not microphone input and cannot verify a spoken concentration or instruction. Copy text and downloads create separate copies under your control. Like/Dislike records local feedback only. These controls do not change the source’s authority, delete provider records or approve an answer for use in a formal document.
4.2 Reporting an incorrect answer
Email care@allesclinx.com with the question, a redacted answer, the source you believe is authoritative, and what needs correction. Include the product SKU or document revision where relevant. An incorrect answer should be held out of operational use while checked. Do not send a full confidential conversation when a short, de-identified example is enough to reproduce the issue.
